- Roles
The right screen for every person.
Fifteen built-in roles. Each person gets a view built for their work, and sees only the records they are allowed to, down to the individual student.
Leadership
School owner
The big picture: enrolment, attendance and collections. Approves discounts and controls school-wide settings and data exports.
Principal
Oversees academics and operations, approves grades before release, and approves discounts.
School admin
Sets up the school, manages staff accounts and roles, and keeps calendars in order.
Auditor
Read-only access to everything in the school, with no ability to change a record.
School office
Registrar
Admissions, student records, document requests, promotion decisions and school-year rollover.
Finance
Fee schedules, invoices, payments, receipts, statements and balances.
HR officer
Staff records, leave, staff attendance and payroll.
Librarian
Catalogue, circulation, reservations and fines.
Transport coordinator
Vehicles, routes, assignments, and pickup and drop-off events.
Classroom & care
Teacher
Attendance for their advisory section, the gradebook, their timetable and messages from parents.
School nurse
Health records, clinic visits and medication logs, kept confidential and access-logged.
Guidance counselor
Guidance cases and confidential notes, kept apart from the student record.
Families
Parent
Everything about their children in one portal: attendance, published grades, statements, announcements and messages.
Student
Their own attendance, published grades, timetable and announcements.
Platform
Super admin
Runs the platform: creates and suspends schools, sets each school’s logo and brand colour, and invites the first owner.
Roles are only half of it.
Knowing someone’s role is not enough. PHSMS also checks that they may see this particular record, so a teacher sees their own sections, and a parent sees only their own children.
How access works
- Everything is denied unless a role is explicitly allowed
- Every record belongs to one school and is never visible to another
- Auditors can read everything in their school but change nothing
- Health, guidance and safeguarding records have their own, stricter access
- Hiding a button is never treated as security. The server checks every request
