General

Who is SIMS for?

K–12 schools that want admissions, student records, timetables, attendance, coursework, grades, report cards and the cafeteria in one system. The grading and report cards follow DepEd rules.

Do we need to install anything?

No. SIMS is a web application. Staff, students and families sign in from a browser on a computer, tablet or phone.

Who can use it?

Four kinds of users: administrators, teachers, students, and applicants with their families. Each sees only what their role allows.

Academics

Does it support senior high school?

Yes. Senior high report cards use the semester format (Q1–Q2 and Q3–Q4). Elementary and junior high use the four-quarter format. The format is chosen from the student's grade level.

How is MAPEH handled?

Music, Arts, PE and Health are graded separately, 0–100 each. The MAPEH grade is calculated as their average, so it's never typed in by hand.

Can teachers see other teachers' classes?

No. Teachers only see, take attendance for, and grade the classes they're scheduled to teach. Administrators see everything.

Can we export attendance?

Yes. The daily attendance report exports to Excel with student ID, name, status, grade, section and date.

Admissions

Can families apply online?

Yes. Families register, fill in the application, upload the required documents and submit, all online. They can follow the status and accept or decline the offer.

What happens when an applicant accepts?

They become a student automatically. Their profile and documents carry over, so nothing is retyped.

Are admission emails sent automatically?

Yes. Approvals send an offer with accept and decline options, and rejections send the reason. Emails go out through your school's own email account.

Security & data

Where are documents and photos stored?

In private cloud storage (Amazon S3). Files are never public. They open through links that expire after a few minutes.

Can we control who sees what?

Yes. Roles are built from individual permissions, and you can create and edit them from the Roles screen. Changes take effect on the user's next click.

Is there an audit trail?

Every admissions step, comment and attachment is logged with who did it and when.
