Ready-to-deploy AI solution
AI CRM Assistant for Salesforce, HubSpot, Zoho and Pipedrive
A pre-built copilot that sits inside your CRM, answers questions about accounts and deals, logs activity automatically and suggests the next best action for every rep.
Overview
Why AI CRM Assistant matters
An AI CRM assistant makes the CRM work for your team instead of the other way round. Most sales and account teams know their CRM data is incomplete: calls are not logged, notes are scattered, deal stages are out of date and forecasts depend on guesswork. Reps see the CRM as admin work, and managers spend pipeline reviews asking for updates instead of coaching.
We deploy a pre-built copilot and configure it to your Salesforce, HubSpot, Zoho or Pipedrive instance, including custom objects, fields and pipeline stages. Reps ask questions in plain language, get account briefings before meetings and have emails and call notes logged for them. Managers get a pipeline view that reflects what is really happening, with risks flagged before the end of the quarter.
What we build
AI CRM Assistant: capabilities
Every feature is built on our standardized stack, so it is secure, tested and maintainable by any engineer in our pool.
Ask your CRM anything
Questions like 'which deals over five lakh have had no activity in two weeks' return a filtered list with links to each record.
Pre-meeting account briefs
Before a call, the copilot summarizes the account's history, open deals, recent support tickets and key contacts on a single screen.
Automatic activity logging
Emails from Gmail or Outlook, calendar meetings and call transcripts are matched to the right contact and deal and logged with a short summary.
Data hygiene suggestions
Missing fields, duplicate contacts, stale close dates and inconsistent stages are detected, with one-click fixes for the record owner.
Next-best-action prompts
Based on deal stage and engagement signals, the copilot suggests the next step, such as a follow-up email, a proposal or bringing in a manager.
Drafted follow-up emails
Personalized follow-ups are drafted from meeting notes and deal context, ready for the rep to edit and send.
Deal risk alerts
Deals with slipping dates, unanswered emails or missing decision-makers are flagged to the owner and their manager.
Works inside the CRM
The copilot appears as a side panel in your CRM and as a chat in Slack or Microsoft Teams, so reps do not switch tools.
Key benefits
Outcomes your business can count on
CRM data you can trust
Automatic logging and hygiene checks keep records complete, which makes reports and forecasts meaningful.
Better-prepared reps
A two-minute briefing replaces fifteen minutes of clicking through records before every customer conversation.
Fewer deals slipping quietly
Early warnings give managers time to step in while a deal can still be saved.
Higher CRM adoption
When the CRM gives reps something useful back, they use it more, and the whole organization benefits from the data.
Use cases
Where this delivers value
Real estate sales teams
Match buyer requirements to available inventory, log site-visit feedback and remind executives to follow up with interested prospects.
B2B account management
Brief account managers on renewals, open support issues and upsell opportunities before quarterly business reviews.
Financial services advisory
Summarize client portfolios and recent interactions for relationship managers, with strict role-based access to sensitive fields.
Sales leadership reviews
Produce a written pipeline summary by team, highlighting deals at risk, stage changes and forecast movement since the last review.
Technology used
Built on one proven stack
The copilot connects to your CRM through its official APIs, uses a language model with tool calling to search and update records, and runs on a NestJS backend that applies each user's CRM permissions and records every change it makes.
- Salesforce, HubSpot, Zoho CRM and Pipedrive APIs
- OpenAI GPT, Claude or Gemini
- LangChain tool calling and MCP
- Google Workspace (Gmail, Drive and Calendar)
- Microsoft 365, Slack and Teams
- Meeting transcription
- NestJS, PostgreSQL, Redis and BullMQ
Our process
From first call to confident launch
- 01
Discovery
We audit your CRM setup, custom objects and data quality, interview reps and managers about daily friction and agree which tasks the copilot should take on first.
- 02
Design
We define the side-panel experience, logging rules, hygiene checks and permission model, and connect the pre-built copilot to a CRM sandbox.
- 03
Agile Build
Each sprint enables a new capability, such as briefings, logging or risk alerts, tested with a pilot team against real accounts before it reaches everyone.
- 04
Production + 90-day hypercare
We roll out team by team. During 90 days of hypercare we track adoption, tune suggestions based on rep feedback and refine risk signals against actual outcomes.
What makes an AI CRM assistant different from built-in CRM AI
Most CRM vendors now offer their own AI features, and they can be useful. They are, however, limited to data inside that CRM and to the vendor's view of how selling works. Our copilot is configured around your process: your stage definitions, your custom fields, your qualification framework and the other systems your team relies on, such as email, calendars, support desks and ERP order history.
Because we build on our standard stack, the copilot can also pull context from outside the CRM, for example open invoices or recent support tickets, and present it alongside the deal. That broader view is often what reps need most before a conversation.
Google Workspace and email integration
For teams on Google Workspace, the copilot reads Gmail threads and Google Calendar events with the user's consent, matches them to CRM contacts and logs them with summaries. Proposals and contracts stored in Google Drive can be linked to the right opportunity automatically. Microsoft 365 users get the same capabilities through Outlook and Teams.
We applied this pattern in a HubSpot AI assistant for a real estate firm, combining lead qualification, follow-ups and property matching inside the CRM the team already used.
- Users control which mailboxes and calendars are connected
- Personal and internal-only emails can be excluded by rule
- All updates are attributed to the copilot in the record history
Choosing the right starting point
If your main problem is slow response to new leads, the AI Sales Assistant is usually the better first step. If you need predictive lead scoring, churn alerts or forecasting models, our CRM + AI integration service builds those on top of your data. Teams whose CRM no longer fits can move to a custom system through our CRM development practice.
